SteepleOS has 19 roles and 57 permissions. You don't need to understand all of them. Here's the short version.
The 4 roles most churches use
| Role | Can see | Can edit | Typical person | |---|---|---|---| | Admin | Everything | Everything | Senior pastor, church admin | | Pastor | People, Care, Groups | Same + notes | Associate pastors | | Finance Manager | Giving, Pledges, Reports | Donations, funds | Bookkeeper, treasurer | | Volunteer Coordinator | Volunteering only | Post opportunities | Ministry leader |
Start with these four. Add more only if you need them.
How to assign a role
- Go to Admin → Users.
- Find the person or click Invite User.
- Pick their role from the dropdown.
- Click save. Done.
Things to watch out for
- Don't make everyone an Admin. Admin can delete the entire church. Limit to 1-2 trusted people.
- 2FA is required for privileged roles. Admin, Pastor, Finance Manager all need a 6-digit code from an authenticator app (Google Authenticator, Authy). Set this up the first time they log in.
- Members cannot see each other's giving. Only Finance Manager and Admin can. This is baked into the platform — no configuration needed.
- Revoke access when someone leaves. Go to Admin → Users → [their name] → Deactivate. Their records stay but they can't log in.
Creating a custom role
Most churches use the built-in roles (see Admin → Team when inviting someone — pick the role that fits). Custom roles with hand-picked permissions are available on the Multiply plan and above; contact us via the in-app support chat and we'll set one up with you.
Non-techie tip: If you're not sure what permission does what, hover over the (?) icon next to each one — it explains in plain English.
