QuickBooks Integration

Connect QuickBooks to sync donations and simplify financial reconciliation.

Connecting QuickBooks

  1. Go to Settings > Integrations > QuickBooks.
  2. Click Connect QuickBooks Online. You will be redirected to Intuit's authorization page.
  3. Sign in to your QuickBooks account and grant SteepleOS read/write access.
  4. Once connected, configure your account mappings.

Account Mapping

Map SteepleOS giving funds to QuickBooks income accounts:

  • General Tithe might map to "4000 - Contribution Income".
  • Building Fund might map to "4100 - Designated Gifts".
  • Missions Fund might map to "4200 - Missions Income". Configure these mappings under Settings > Integrations > QuickBooks > Fund Mapping.

Syncing Donations

Once mapped, SteepleOS syncs completed donations to QuickBooks as sales receipts or journal entries on a daily basis.

  • Each sync batch is logged under Admin > Integration Logs so you can audit what was sent.
  • Failed syncs are flagged with an error message and can be retried manually.

Reconciliation Tips

  • Run a monthly reconciliation by comparing the SteepleOS Giving > Summary report with your QuickBooks income report.
  • Use the Date Range filter to match the exact period.
  • Discrepancies usually stem from refunds or chargebacks processed in Stripe but not yet synced. Check the integration log for pending items.
